SUCCESSFUL MEETINGS - STEPS 4, 5 AND 6

Step Four: Draw Up Your Agenda
Your agenda is a plan of what will be discussed in the meeting and the order in which it will be discussed. As you review your agenda items and your list of participants, arrange the items on the agenda to create a natural flow. Since it is hard to abruptly shift the focus of a group from one unrelated topic to another, try to group similar agenda items together to form a natural transition.

Step Five; Select Your "Props"
"Props" are the charts, graphs, diagrams, reports, slides, and so forth you need at the meeting to assist in discussing the agenda items.

Step Six: Select a Meeting Room
There is no such thing as an all-purpose meeting room. If you have a choice of rooms, you should keep in mind the following criteria:

• Choose a room appropriate to the size of the group.
• Avoid a room with windows, or select a room where draperies can be closed and participants are seated facing away from the windows.
• Avoid a long, narrow room.
• Choose a "U" or "horseshoe" arrangement for chairs and tables, or select a room with a large conference table.
• Choose a room with an entrance/exit at the rear of the room (opposite the side participants are facing).
